Hiring Agreement & Terms and Conditions

By proceeding with payment to Social Club Photobooth, you acknowledge that you have read, understood, and agree to the following terms and conditions.

Booking, Payment & Cancellation Policy

  • A 50% non-refundable deposit is required to secure your booking. This payment confirms your event date and covers pre-event planning and preparation.

  • The remaining balance is due no later than 3 weeks prior to your event. If full payment is not received by this deadline, your booking will be cancelled, and the deposit forfeited.

  • For last-minute bookings (within 21 days of the event), full non-refundable payment is required within 24 hours.

  • Cancellations must be made in writing via email. While all payments are non-refundable, cancellations made more than 10 days before your event may be eligible for a credit, valid for use within 12 months.

Venue Access, Set-Up & Requirements

  • You are responsible for providing accurate venue details, including address, contact person, and postcode. We will request this information via email, which you may forward to your venue coordinator.

  • Please ensure there is clear access for loading/unloading, as well as nearby parking for our team.

  • A minimum area of 2.5m x 2.5m with 2.5m height clearance is required for the booth and backdrop.

  • A power outlet must be available within 5 metres of the setup location.

Set-Up & Pack-Down

  • Our team will arrive approximately 90 minutes before the hire period begins for setup. Additional idle time (if early access is required) may incur extra charges.

  • Backdrops must be placed against a wall or flat surface to ensure stability.

Props, Equipment & Client Responsibility

  • Props are included with all bookings. We ask that they are treated with care and returned in original condition. Damage or loss may result in additional charges.

  • The client is responsible for any damage to the photo booth, props, backdrops, or related equipment caused by guests or venue staff during the hire period. Any damage will be invoiced and must be paid within 7 days.

  • The client must ensure the venue provides a suitable environment, including access to power, weather cover for outdoor events, and protection from hazards. Social Club Photobooth is not liable for incomplete setup or reduced operational time due to unsuitable conditions.

Guest Behaviour & Termination of Service

  • The client agrees to ensure guests behave respectfully around the photo booth equipment and staff. In cases of abuse, intoxication, or unruly behaviour, Social Club Photobooth reserves the right to pause or terminate services immediately, with no refund applicable.

Service Limitations, Liability & Force Majeure

  • While we aim to provide a seamless experience, Social Club Photobooth is not liable for delays or non-performance due to circumstances beyond our control, including but not limited to extreme weather, traffic, vehicle breakdowns, power outages, or venue access issues.

  • Force Majeure: We shall not be held responsible for any failure to perform obligations due to events beyond our reasonable control, such as natural disasters, public health emergencies, strikes, or government restrictions.

  • We do not accept liability for loss or damage to personal belongings or injuries unless caused by proven negligence.

  • Valid Public Liability Insurance is maintained and available upon request.

Images, Media Use & Digital Delivery

  • Unless otherwise requested in writing, Social Club Photobooth reserves the right to use selected images from your event for marketing and promotional purposes across our website and social channels.

  • If you wish to opt out of this, please advise us via email before your event.

  • A digital gallery link will be emailed within 10 business days post-event. Please ensure all outstanding invoices are settled prior to receiving this.

  • The gallery will remain available for 90 days, and we recommend downloading your images promptly.

  • All images captured will be included in the gallery. We do not edit, curate, or remove individual photos. It is your responsibility to inform your guests of appropriate use and behaviour during photo booth sessions.

Travel, Surcharges & Late Fees

  • Events held beyond a 30km radius from Sydney CBD will incur a travel surcharge.

  • Bookings on NSW public holidays or between 24 December – 2 January attract a 15% surcharge.

  • Late payments will incur a $15/day late fee from the due date until payment is received in full.
